For Conference Organizers

This page is for conference organizing committees considering publishing their proceedings in Conference Proceedings in Science and Management (Conf. Proc. Sci. Manag.).

Conf. Proc. Sci. Manag. is a peer-reviewed, open-access proceedings series that publishes the proceedings of academic conferences as numbered volumes under a single ISSN. Each volume corresponds to a single conference. Peer review is conducted by the volume editors of the conference under standards set by the proceedings series, and is independently cross-checked by the Editorial Advisory Board and the Editor-in-Chief, who hold final authority over acceptance. Conf. Proc. Sci. Manag.  provides the publication infrastructure: editorial standards, copyediting, typesetting, hosting, indexing, and long-term archiving.

What Conf. Proc. Sci. Manag. Provides

  • A peer-reviewed, open-access publication venue under a recognized ISSN
  • A numbered volume of Conf. Proc. Sci. Manag. dedicated to your conference
  • Volume cover, masthead, table of contents, and Statement of Peer Review
  • Copyediting support to a consistent house style

What the Volume Editors Provide

The conference's organizing committee designates one or more Volume Editors for the Conf. Proc. Sci. Manag. volume. The Volume Editors are responsible for:

  • Issuing the call for papers and managing the submission process for the conference
  • Selecting reviewers and administering the peer review process to Conf. Proc. Sci. Manag. standards
  • Making volume-level recommendations on individual papers, with final authority over acceptance into Conf. Proc. Sci. Manag. resting with the Editorial Advisory Board and the Editor-in-Chief
  • Preparing the volume's preface and signing the Statement of Peer Review
  • Ensuring all accepted papers comply with the manuscript and ethical standards of the proceedings series
  • Acting as the primary point of contact between the conference and Conf. Proc. Sci. Manag.

Eligibility

To be considered for publication in Conf. Proc. Sci. Manag., a conference must:

  • Fall within the disciplinary scope of Conf. Proc. Sci. Manag. (see the Aims and Scope page)
  • Run a substantive peer review process meeting the minimum standards of Conf. Proc. Sci. Manag. (see the Peer Review Process page)
  • Be a scholarly conference, workshop, or symposium, not a primarily commercial event
  • Have an organizing committee willing to commit to the ethical and editorial standards of the proceedings series

Proposal Process

To propose a conference for publication in Conf. Proc. Sci. Manag., the organizing committee submits a proposal containing the following information:

  • Conference title, dates, and location (or "online" if virtual)
  • Conference website, if available
  • Conference scope and themes
  • Names, affiliations, and contact details of the proposed Volume Editors
  • Brief CVs or biographical statements for the Volume Editors, with ORCID iDs where available
  • Description of the planned peer review process, including expected number of reviewers per paper and timeline. Conf. Proc. Sci. Manag. operates a single-blind peer review model; the conference's review process must be conducted on this basis.
  • Estimated number of papers to be included in the volume
  • Preferred reference style for the volume (IEEE or APA)
  • Any sponsors or funders of the conference, with disclosure of any commercial relationships

Proposals are reviewed by the Editor-in-Chief in consultation with the Editorial Advisory Board. Acceptance is based on the conference's scholarly merit, the credentials of the Volume Editors, the rigor of the proposed peer review process, and alignment with the editorial and ethical standards of the proceedings series. Conf. Proc. Sci. Manag. may decline to publish a volume that does not meet these standards.

Submission of a proposal is free. Fees apply only to accepted volumes.

Timeline

A typical Conf. Proc. Sci. Manag. volume runs through the following phases:

  • Proposal review. Two to four weeks from proposal submission to decision.
  • Conference and peer review. Managed by the Volume Editors on the conference's own timeline.
  • Manuscript handover. Final accepted manuscripts, peer review records, and editorial documents transferred to Conf. Proc. Sci. Manag. after the conference concludes.
  • Production. Copyediting, typesetting, and proofing. Typically four to eight weeks for a standard-size volume.
  • Publication. Volume goes live on the Conf. Proc. Sci. Manag. website with all papers published simultaneously.
  • Indexing and archiving. Volume submitted to relevant indexing services and deposited for long-term preservation.

From the close of the conference to the published volume, expect six to twelve weeks depending on the size and complexity of the volume.

Article Processing Charges

Conf. Proc. Sci. Manag. charges a per-paper Article Processing Charge for accepted Proceeding Papers and Abstracts. Editorial content (preface, Statement of Peer Review, Conference Report by volume editors) is free of charge. Volume discounts apply for larger volumes, and an inaugural rate is currently in effect for early-adopting conferences. The full fee structure, including current rates, the inaugural sunset clause, and equity waivers, is published on the Open Access and APC page.

Standard Rates

  • Proceeding Paper: USD 70
  • Abstract: USD 30
  • Editorial content (preface, Statement of Peer Review, Conference Report): free
  • Volume discount: 10% off all paper fees for volumes of 30 or more papers; 20% off for volumes of 60 or more papers

Inaugural Rates

As an inaugural offer to early-adopting conferences, Conf. Proc. Sci. Manag. applies the following discounted rates:

  • Proceeding Paper: USD 35
  • Abstract: USD 15
  • Editorial content: free
  • Volume discounts apply on the same tiers as the standard rates

The inaugural rate applies until Conf. Proc. Sci. Manag. is indexed in Scopus, or for the first three years of publication, whichever comes earlier. Conferences whose proposals are accepted while the inaugural rate is in effect are invoiced at the inaugural rate, even if final publication occurs after the rate transitions.

Equity Waivers

Fee waivers and equity provisions for conferences and authors based in eligible countries, as well as the invoicing process, are set out in full on the Open Access and APC page. Conference organizers may choose to absorb fees, recover them through conference registration, or charge them to authors directly.

Editorial and Ethical Commitments

By publishing a volume in Conf. Proc. Sci. Manag., the Volume Editors commit to:

  • Disclosing all conflicts of interest and recusing from handling submissions where conflicts exist
  • Ensuring no more than 25% of papers in the volume are authored by the Volume Editors, members of the Conf. Proc. Sci. Manag. Editorial Advisory Board, or members of the Conf. Proc. Sci. Manag. editorial office
  • Cooperating with the proceedings series in the event of post-publication corrections, retractions, or misconduct investigations
  • Not engaging in practices associated with predatory or paper-mill publishing, including ghost-writing, authorship for sale, fake review, or aggressive author solicitation

Indexing and Discoverability

Conf. Proc. Sci. Manag. submits published volumes to relevant indexing services and aims for inclusion in major databases. Inclusion is not guaranteed and depends on each database's own evaluation process. Conf. Proc. Sci. Manag. does not promise indexing outcomes to organizers as part of the publication agreement. The full indexing strategy is set out on the Archiving and Indexing page.
