Author Guidelines

This page provides guidance for individual authors preparing manuscripts for inclusion in a conference whose proceedings will be published in Conference Proceedings in Science and Management (Conf. Proc. Sci. Manag.).

Authors do not submit directly to Conf. Proc. Sci. Manag.. Authors submit through their conference's own process under the direction of the volume editors. The volume editors administer peer review and select papers for inclusion in the Conf. Proc. Sci. Manag. volume. The Editorial Advisory Board and the Editor-in-Chief independently cross-check the volume and hold final authority over acceptance. The guidance below sets out the standards that all Conf. Proc. Sci. Manag. submissions must meet, regardless of which conference they are part of.

Manuscript Types

Conf. Proc. Sci. Manag. publishes three types of manuscript:

  • Proceeding Paper. A full short paper presenting original research, with a structure similar to a standard research article (introduction, methods, results, conclusions). Recommended length: not more than eight pages, in the Conf. Proc. Sci. Manag. manuscript template. Peer-reviewed.
  • Abstract. A short single paragraph summarizing the main topic and findings, or an extended abstract giving a moderately detailed account of the work. Submitted in advance to support a conference presentation. Usually has no sections; may include tables, figures, and references. Maximum length: four pages. Peer-reviewed.
  • Conference Report. A record of the events of a conference, seminar, or session, providing a comprehensive overview with relevant background. Editorial content prepared by the volume editors, not subject to peer review. Suggested minimum length: 2,500 words.

Manuscript Template

All Proceeding Papers and Abstracts must be prepared using the Conf. Proc. Sci. Manag. manuscript template, available in Word and LaTeX formats from the Conf. Proc. Sci. Manag. templates download page. Submissions in non-Conf. Proc. Sci. Manag. templates will be returned to authors for reformatting.

Language

Manuscripts must be submitted in English. It is the author's responsibility to submit work in correct English. Manuscripts requiring extensive language editing may be returned to authors at the editing stage, which can delay publication.

Originality

Manuscripts must be original work. They must not have been published elsewhere and must not be under consideration for publication elsewhere. All accepted papers are screened for originality using established plagiarism detection software before publication.

Manuscript Preparation

  • Front matter must include: title, full author names, affiliations, abstract (approximately 200 words; not exceeding 300 words), and three to ten keywords.
  • ORCID iDs are recommended for all authors and required for the corresponding author. Authors who do not yet have an ORCID iD can register at orcid.org.
  • Acronyms should be defined the first time they appear in the abstract, the main text, and the first figure or table.
  • SI units should be used. Imperial and other units should be converted to SI where possible.
  • Equations should be editable text (Microsoft Equation Editor or MathType), not images.
  • Figures must be at least 300 dpi, in PNG, JPEG, or TIFF format.
  • Tables must be editable text, not images.

Reference Style

Conf. Proc. Sci. Manag. accepts two reference styles. The volume editors of each conference choose one at the time of volume proposal, and that style is applied consistently to all papers in the volume. The two permitted styles are:

  • IEEE (numbered citations in square brackets, reference list in number order)
  • APA, 7th edition (author-year citations, alphabetical reference list)

Authors should follow the style declared by the volume editors of their conference. Mixed styles within a volume are not permitted.

Authorship

Authorship is governed by the ICMJE criteria as endorsed by the Committee on Publication Ethics (COPE). The full authorship policy, including prohibited practices and dispute resolution, is set out on the Editorial Policies page. Honorary, gift, and ghost authorship are not permitted. Generative AI tools and large language models cannot be listed as authors.

Use of Generative AI

Any use of generative AI tools or large language models in the preparation of the manuscript must be disclosed in the Acknowledgments or Methods section, including the tool name, version, and purpose of use. This disclosure requirement applies to all uses, including grammar correction, language polishing, code or figure generation, and substantive content drafting. Authors take full responsibility for the content of the manuscript, including any portions produced or assisted by AI. The full policy is set out on the Editorial Policies page.

Ethical Requirements

  • All sources, prior work, and collaborators must be properly cited and acknowledged.
  • Data and methods must be reported honestly and in sufficient detail to permit replication where appropriate.
  • Conflicts of interest, financial or otherwise, must be disclosed at the time of submission.
  • Where research involves human subjects, animal subjects, or sensitive data, authors must confirm that all required ethical approvals have been obtained and must include a statement to this effect in the manuscript.

Copyright and Licensing

Authors retain copyright in their work. By accepting publication in Conf. Proc. Sci. Manag., authors agree that their paper will be distributed under the Creative Commons Attribution License (CC BY 4.0).

Conference Proceedings Submission Preparation Checklist

By submitting to Conf. Proc. Sci. Manag., I confirm that:

  • The manuscript is original and has not been published elsewhere, in whole or in part.
  • The manuscript is not under consideration for publication at any other venue.
  • All listed authors have read and approved the manuscript and meet the Conf. Proc. Sci. Manag. authorship criteria as endorsed by COPE.
  • Any use of generative AI tools or large language models in preparing the manuscript has been disclosed in the Acknowledgments or Methods section, with tool name, version, and purpose of use.
  • All sources, prior work, and collaborators have been properly cited and acknowledged.
  • All conflicts of interest, financial and non-financial, have been disclosed.
  • Where the research involves human subjects, animal subjects, or sensitive data, all required ethical approvals have been obtained and stated in the manuscript.
  • Figures and tables are original or properly licensed for reuse, with permissions obtained where required.
  • The manuscript follows the formatting guidance in the Author Guidelines, uses the Conf. Proc. Sci. Manag. manuscript template, and uses the reference style declared by the volume editors of my conference.
  • I accept that the published article will be distributed under the Creative Commons Attribution License (CC BY 4.0).

Conference Proposals

For conference organizing committees seeking to publish proceedings as a volume of CPSM. Submit a brief proposal describing the conference, its scope, expected paper count, organizing committee, and intended publication timeline. Proposals are reviewed by the Editor-in-Chief in consultation with the Editorial Advisory Board, and are not peer reviewed or published. This section is used solely as an intake and assessment workflow.

Proceeding Papers

Full short papers presenting original research, structured along standard research-article lines (introduction, methods, results, conclusions). Recommended length: up to eight pages in the CPSM manuscript template. All proceeding papers undergo single-blind peer review.

Abstracts

Short single-paragraph summaries, or extended abstracts giving a moderately detailed account of the work, submitted in advance to support a conference presentation. Usually unstructured; may include tables, figures, and references. Maximum length: four pages. All abstracts undergo single-blind peer review.

Privacy Statement

This statement explains how Conference Proceedings in Science and Management (CPSM) and its publisher, SHORAM Editorial Services, handle personal information collected through the proceedings series website and the editorial process.

Information We Collect

The proceedings series collects personal information from authors, reviewers, volume editors, and registered users for the following purposes:

  • Names, affiliations, and email addresses for authorship attribution and editorial correspondence
  • ORCID identifiers, where provided
  • Account credentials (username and encrypted password) for registered users
  • Manuscript content and supporting files submitted to the proceedings series
  • Editorial correspondence between authors, volume editors, reviewers, and the editorial office
  • Server log data, including IP address and browser information, retained for security and analytics

How We Use This Information

Personal information is used solely for the operation of the proceedings series: managing submissions, administering peer review, publishing accepted papers, communicating with authors and editors, and maintaining the integrity of the published record.

Author and contributor information that appears on a published paper (names, affiliations, ORCID identifiers, and corresponding-author email addresses) becomes part of the public scholarly record and remains visible after publication.

Sharing of Information

The proceedings series does not sell, rent, or otherwise commercially share personal information. Information is disclosed to third parties only in the following circumstances:

  • To indexing and archiving services such as Crossref, Google Scholar, DOAJ, and other comparable services, as part of the publication metadata
  • To volume editors and reviewers as required for the peer review process
  • To technical service providers acting on the instructions of the proceedings series, including hosting, email, and plagiarism screening providers, under contractual confidentiality obligations
  • To preservation services, including the PKP Preservation Network when enrollment is complete, for long-term archiving
  • Where required by law or regulatory authority

Cookies and Analytics

The proceedings series website uses essential cookies necessary for site functionality (login, session management). It does not use third-party advertising cookies. Anonymized analytics may be used to understand site usage and improve the service.

Data Retention

Author and contributor information attached to published papers is retained indefinitely as part of the scholarly record. Other personal information, including account data and editorial correspondence, is retained for as long as necessary for the operations of the proceedings series and as required by applicable law.

Your Rights

Registered users may access, correct, or request deletion of their account information by writing to the editorial office. Information forming part of the published scholarly record, including authorship, affiliations, and correspondence relating to published papers, cannot be deleted, as this would compromise the integrity of the public record.

Where a user requests deletion of an account, the account is deactivated and personal data not connected to the published record is removed from the active systems of the proceedings series within thirty days of the request.

Compliance

SHORAM Editorial Services complies with applicable data protection laws, including India's Digital Personal Data Protection Act, 2023. For authors, reviewers, and users based in the European Union and the United Kingdom, the proceedings series additionally observes the principles of the General Data Protection Regulation (GDPR) and the UK GDPR. Personal information is handled in accordance with the Principles of Transparency and Best Practice in Scholarly Publishing.
